Information you provide directly:

• Name and email address
• Vehicle details: chassis number/VIN, make, model, year, country
• The parts you're requesting: part name, part number (if known), notes
• Reference photos you upload of the part or vehicle
• Password, if you create an account with email/password (stored securely hashed, never in plain text)
• Messages you send us via WhatsApp or email

Information from third parties you choose to use:

• If you sign in with Google, we receive your name and email from your Google account
• Payment confirmation from PayPal (we never see or store your card or PayPal login details)

Information we collect as part of fulfilling your order:

• Photos or diagrams of the part we've sourced for you
• Order status, tracking number, and carrier once shipped
• Your full shipping address — since our request form collects your country but not a full delivery address, we typically confirm this with you directly by email or WhatsApp once your order is ready to ship

Automatically collected information:

We use Cloudflare Web Analytics to understand overall site traffic. This is a cookieless analytics service — it doesn't use tracking cookies or collect personally identifiable information, only aggregate usage statistics.

• To generate and send you quotes, invoices, and order status updates
• To process payments (via PayPal) and arrange shipping
• To respond to your messages and provide support
• To maintain your account, if you have one
• To improve our site and service

We don't sell your information. We share it only with the service providers necessary to run SparesJP and fulfill your order, each governed by their own privacy policy:

• PayPal — to process your payments
• Supabase — our database, authentication, and file storage provider
• Resend — to deliver transactional emails (order confirmations, quotes, shipping updates)
• WhatsApp (Meta) — only if you choose to contact us via WhatsApp
• Google — only if you choose to sign in with Google
• DigitalOcean — our web hosting provider
• Cloudflare — cookieless website analytics

We may also disclose information if required by law, or to protect the rights, property, or safety of SparesJP, our customers, or others.

As a service sourcing parts from Japan for customers worldwide, your information may be processed and stored in countries other than your own, including by the service providers listed above, wherever they operate their infrastructure.

We retain order information for as long as needed to fulfill your order, handle any follow-up questions or issues, and meet our own legal, accounting, and tax obligations. You can ask us to delete your account and associated personal information at any time, subject to records we're required to keep for legal or accounting purposes.

Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, or to object to certain uses of it. To exercise any of these, contact us via WhatsApp or email and we'll respond as required by applicable law.

We use industry-standard measures — including encrypted connections and access controls — to protect your information. No online service can guarantee perfect security, but we take reasonable steps to protect your data against unauthorized access, loss, or misuse.

SparesJP is not directed at children, and we don't knowingly collect personal information from anyone under 18.

We may update this Privacy Policy from time to time. We'll update the "Last updated" date above whenever we do.
