Terms of Service

These Terms of Service ("Terms") govern your use of SparesJP ("we," "us," "our") and any parts sourcing request, quote, purchase, or communication made through our website, WhatsApp, or email. By submitting a request or making a payment, you agree to these Terms.
1. What we do
SparesJP is a sourcing service, not a stocked retailer. We locate genuine new and inspected used spare parts for Japanese-market vehicles — sourced from Japan, including Japanese auction houses for used parts — on a per-request basis after you submit your vehicle and parts information.
Because parts are sourced individually per order rather than held in ready inventory, availability, condition, and final pricing are confirmed only after we've located the specific part for your request.
2. How an order works
You can start a request through our website or by messaging us directly on WhatsApp with a photo, part number, or chassis number — a photo isn't required if you know the part name and your chassis number.
Once we locate a matching part, we send you a photo or diagram to confirm it's correct before anything is charged. Nothing proceeds to payment until you've approved what we found.
Payment happens in two separate stages:
- Parts payment — charged once you approve the quote, for the part(s) only.
- Shipping payment — invoiced separately, after your parts have physically arrived at our warehouse and we know the actual shipping cost. This is never charged upfront as an estimate.
3. Pricing, customs, duties, and taxes
Quoted prices cover the part(s) and, separately, shipping — nothing else.
Customs duties, import taxes, tariffs, VAT/GST, brokerage fees, and any other charges imposed by your country's government or customs authority are entirely your responsibility. These are never included in our pricing and are not collected by us. You are responsible for knowing your own country's import regulations before ordering, including whether a part is legally importable at your destination. We are not liable for customs delays, additional charges, inspections, or seizures once a shipment leaves our warehouse.
4. New and used parts
Where used parts are offered, they are sourced primarily from Japanese auction houses and inspection services. We describe condition to the best of our knowledge and, where possible, provide real photos of the actual part — not stock or catalog images — for you to review before purchase.
Used parts are sold as inspected, functional units matching their description and photos at the time of quoting; normal wear consistent with a used part's age and condition is expected and is not itself a defect.
5. Shipping
We ship via EMS air freight to any destination EMS services. Estimated delivery timeframes are provided in good faith but are not guaranteed, since we don't control customs processing, carrier delays, or events outside our control once a shipment is in transit.
Risk of loss or damage in transit is a shared concern — we package parts carefully and will work with you and the carrier on any transit damage claim, but international carrier claims can take time and are subject to the carrier's own process.
6. Returns, refunds, and compensation
Because every part is sourced specifically for your order rather than pulled from general stock, we do not accept returns. Parts and shipping payments are final once processed.
That said, if something genuinely goes wrong — the part doesn't match what was approved, arrives damaged in a way not disclosed beforehand, or a real error was made on our side — contact us and we'll work through it with you in good faith. Any replacement, partial refund, or other compensation in these situations is handled case-by-case through direct discussion, not as an automatic entitlement.
This policy describes our own direct resolution process. It does not limit or override any rights you may separately have under PayPal's own Purchase Protection program or applicable consumer protection law in your jurisdiction.
7. Payment processing
All payments are processed by PayPal. We do not receive or store your card or PayPal account credentials — that information is handled entirely within PayPal's own secure systems, governed by PayPal's own Privacy Statement and User Agreement.
8. Cancellations
You may cancel a request at any time before making a payment, at no cost. Once parts payment has been made, we begin actively sourcing and may commit funds toward acquiring the part — cancellation after this point may not be possible, or may only be possible with a deduction for costs already incurred. Contact us as early as possible if you need to cancel.
9. Accounts and guest use
You can submit a request with or without creating an account. If you use an account, you're responsible for keeping your login credentials secure and for activity under your account.
10. Acceptable use
You agree not to use SparesJP for any unlawful purpose, to submit false vehicle or payment information, or to attempt to circumvent our pricing, sourcing, or payment processes.
11. Limitation of liability
To the fullest extent permitted by law, SparesJP is not liable for indirect, incidental, or consequential damages arising from your use of our service, including delays, part unavailability after sourcing has begun, or customs issues at your destination. Our total liability for any claim is limited to the amount you paid for the specific order in question.
12. Changes to these terms
We may update these Terms from time to time. Continued use of SparesJP after changes are posted means you accept the updated Terms. We'll update the "Last updated" date above whenever changes are made.
